Ancillary Meetings
Definition and Blackout Times
Any meeting organized in conjunction with CDDW™ by industry with participants who are registered Conference attendees (regardless of professional role or designation) will be deemed an Ancillary Meeting, whether held onsite or offsite.
Examples include roundtable discussions, steering committee meetings, advisory board meetings, investigator meetings, meet-the-specialist meetings.
Meetings that do not fall under this category are internal/staff meetings where only company staff are participating (whether attending the Conference or not).
Ancillary Meetings are not allowed to take place during blackout times, so as not to conflict with the official scientific program.

Exception
Meetings with fewer than 10 attendees and held onsite in a space reserved through CDDW™ may take place at any time during the Conference. They are not subject to the above Blackout Times. They are still subject to approval and fee.
Meeting Approval
All Ancillary Meetings, whether held onsite or offsite, must be submitted to, and approved by, the Conference Secretariat.

Meeting Fee
A Meeting Fee (space rental fee) is required for meetings held onsite. Duration includes setup, slide prep, meeting time, and teardown.

This fee includes a basic AV package, including projector and screen. Requests or modifications outside this basic package may incur additional fees. See Contact Us paragraph below for contact information.
Penalty
Supporters found hosting an onsite or offsite Ancillary Meeting without prior approval by the Conference Secretariat will be subject to a penalty of CAD 10,000 and/or removal of benefits.

The JW Marriott Parq Vancouver is a contemporary, full-service hotel located in downtown Vancouver, offering refined accommodation and state-of-the-art meeting and event facilities. Situated within the Parq Vancouver complex, the hotel’s integrated conference facilities and central location make it an ideal setting for hosting international medical meetings and fostering professional exchange.
Compliance with Innovative Medicines Canada
The JW Marriott Parq Vancouver is part of the Parq Vancouver complex, which includes a casino. The hotel is not “primarily known as a casino” and as such, it does not contravene paragraph 6.2.3 of the Innovative Medicines Canada Code of Ethical Practices. Furthermore, the following steps have been taken to mitigate the existence of the casino near the venue:
- The general manager has provided assurance in a letter and in the contract that there will be no casino promotion in any of our guest rooms and/or meeting spaces.
- The hotel has committed to removing all signage and promotions about the casino within the walls of the hotel and Conference Centre during our stay.
- The hotel will block off or redirect people from accessing the casino through the lobby.

Hotel Accommodation: Book Official
The Conference Secretariat (International Conference Services, Ltd.) is the official housing bureau and will coordinate housing for CDDW™. Discounted room rates have been negotiated for delegates and groups. All sponsors and exhibitors are asked to support the Conference by booking accommodation via the official housing bureau. Full rates will be available on the Conference website’s Accommodation page.
